Overview
Responsibilities:
- Oversee and coordinate office administrative procedures;
- Maintain work priorities and ensure procedures are followed and deadlines are met;
- Protect and ensure privacy of clients is secured and saved safely ;
- Ensure that invoices are billed and paid out on time;
- Gather data and prepare and submit periodic and timely reports;
- Scheduling client appointments and installations;
- Maintain all other office paperwork or similar duty in office according to needs;
- Contact with Suppliers and Coordinate and schedule delivery according to the business needs;
- Schedule work activities, timesheets, meetings, gatherings;
- Maintains stock lists and orders office supplies as needed;
- Carry out administrative activities associated with admissions to post-secondary educational institutions;
- May perform other office duties as per the company’s requirements;
- Conduct clerical duties, including filing, answering phone calls, responding to emails and preparing documents;
- Reconciling daily lead and visiting client data;
- Organize and coordinate administration duties and our procedures, review and evaluate them.
Requirements:
- Excellent communication skills in English;
- Experienced in performing all accounting functions (journal entries, payroll, accounts payable, accounts receivable and reporting);
- Ensuring statutory compliance incl: HST, payroll, WSIB and other related matters; ( training provided)
- Establish work priorities and ensure procedures are followed and deadlines are met;
- Coordinate and oversee all office and clerical activities and operations;
- Interacts with directors and carries out their requests;
- Ensure compliance with applicable rules and regulations;
- Handle complains, maintenance requests and other concerns;
- Valid driver’s license;
- Important – Spoken languages – French (optional) and English;
- Advanced Microsoft office skills including Excel, QuickBooks, Word;
- Demonstrated satisfactory work performance and attendance history;
- 0-3 years minimum experience in an office management role;
- A university degree or college diploma in business or public administration is an asset.
